Privacy Policy
Effective date: May 19, 2026 Last updated: June 19, 2026
Excel Windows takes your privacy seriously. We’re a family-owned company. We don’t sell your data. We don’t share it with people who don’t need it to do the job you asked us to do. This page explains what we collect, why, and your rights.
If anything here is unclear, call us at (708) 636-9898 or email hello@excelwindows.com.
1. Who we are
Excel Windows, Inc. is a home improvement contractor based in Tinley Park, Illinois. We’ve been here since 1982. We’ve been BBB-accredited since 1993. Our address is 8049 185th St., Tinley Park, IL 60487. Excel Windows, Inc. is the “data controller” for the purposes of this policy — meaning we’re the company responsible for how your information is handled when you interact with this website or our business.
This policy covers excelwindows.com, our forms, our call tracking, our email and SMS communications, and any data we collect at the showroom or during an in-home consultation.
2. What we collect
Information you give us. When you submit a form, request a quote, sign up for our newsletter, or schedule a consultation, we collect:
- Name
- Phone number
- Email address
- Home address (for consultations)
- Project details you choose to share (which division, scope, timeline, budget range)
- Photos or files you upload, if any
- Marketing consent (you check a box; we keep a record)
Information we collect automatically. When you visit the site:
- IP address and approximate location
- Browser type and device type
- Pages you view and how long you’re on them
- How you got here (search engine, ad, referral)
- Standard analytics cookies (more on cookies below)
Information from calls. When you call us, our call tracking service (CallRail) records the call, the phone number you dialed from, the duration, and which ad or page caused you to call. We use this to measure which marketing channels work and to train our team. Recorded calls are kept on a rolling 90-day window unless we need to keep a specific call longer to resolve a customer service issue.
Information from third parties. If you click an ad on Google or Meta, those platforms send us limited information about the click (which campaign, which keyword, sometimes which device). We don’t receive your name or contact info from ad clicks alone — only from forms you submit directly.
3. Why we collect it
We use your information to:
- Respond to your quote request or question
- Schedule, prepare for, and complete your consultation or installation
- Send you the marketing communications you opted in to receive
- Process your application for financing through our partners (only if you apply)
- Measure which marketing channels work so we don’t waste money on ones that don’t
- Improve the website
- Comply with our legal and tax obligations
- Train our staff on customer service quality
We don’t use your information for any other purpose without telling you first.
4. Marketing communications — opt-in only
We send marketing emails and text messages only to people who have opted in. When you check the “Yes, send me Excel news and seasonal offers” box on one of our forms, you’re consenting to receive marketing from us.
By providing your phone number and opting in, you consent to receive recurring SMS text messages from Excel Windows about appointments, quotes, service updates, and promotions. Consent to receive text messages is not a condition of purchasing any goods or services. Message frequency varies. Message and data rates may apply. Reply STOP to opt out, or reply HELP for help. Text messaging originator opt-in data and consent will not be shared with any third parties, excluding aggregators and providers of the Text Message services.
You can unsubscribe anytime:
- Email: click “unsubscribe” at the bottom of any email
- Text: reply STOP
- Either: email hello@excelwindows.com and we’ll remove you within one business day
Unsubscribing from marketing doesn’t stop us from contacting you about a job we’re working on for you. Project communications (your installer’s arrival window, a permit update, a warranty follow-up) keep flowing regardless.
5. Who we share it with
We share your information with the following categories of third parties, and only with them, and only for the reasons listed:
| Who | What they get | Why |
|---|---|---|
| Salesforce | Your contact info, project details, status | Our customer database. They host the records; we own them. |
| Klaviyo | Email + phone + marketing-relevant attributes | Sending marketing email + SMS only if you opted in |
| CallRail | Call recordings, phone numbers, ad source | Call tracking and quality control |
| Google + Meta | Hashed identifiers and conversion events | Measuring ad performance (no plain-text name/email shared) |
| Service Finance Company | Your financing application | Only if you apply for financing through their program |
| Our installation crews | Your name, address, scope of work, install date | They need it to do the job |
| Our attorneys, accountants, or insurers | Only what’s needed for the specific matter | Legal, tax, insurance |
| Law enforcement or courts | Only what’s legally required | If we receive a valid subpoena, warrant, or court order |
We don’t sell your data. We don’t share it with data brokers. We don’t share it with companies that want to market unrelated products to you.
6. Cookies and tracking
This site uses cookies for three purposes:
- Essential cookies make the site work (form submissions, session state). These can’t be turned off.
- Analytics cookies (Google Analytics 4, Microsoft Clarity) tell us which pages are popular and where visitors get stuck. We can’t identify you personally from analytics.
- Advertising cookies (Google Ads, Meta Pixel) measure whether the ads we ran actually generated visits or leads.
You can decline analytics and advertising cookies through the cookie banner the first time you visit, or change your preferences anytime through the cookie settings link in the footer.
If you turn on the “Do Not Track” signal in your browser, we honor it for our own analytics. We can’t control what third parties do with it.
7. Your rights — California (CCPA) and Illinois residents
If you live in California or Illinois, you have specific rights regarding your personal information:
Right to know. You can ask us what personal information we have about you, where we got it, and who we’ve shared it with in the last 12 months.
Right to delete. You can ask us to delete your personal information. We have to honor that unless we need it to complete a job you hired us for, satisfy a legal obligation, or defend a legal claim.
Right to correct. If we have something wrong about you, you can ask us to fix it.
Right to opt out of sale or sharing. We don’t sell your personal information, period. We don’t share it for cross-context behavioral advertising in a way that would trigger a “Do Not Sell or Share” right under the CCPA. If that ever changes, this page will say so and a “Do Not Sell or Share My Personal Information” link will appear in the footer.
Right to non-discrimination. If you exercise any of these rights, we won’t treat you any differently for it.
To submit a request: email hello@excelwindows.com with “Privacy Request” in the subject line, or call (708) 636-9898 and ask for the privacy administrator. We’ll verify your identity before fulfilling the request. We respond within 45 days. Free of charge unless requests are excessive or repetitive.
You may designate an authorized agent to make a request on your behalf. We may require written proof of the authorization.
8. How long we keep it
- Active customers: for the life of the relationship plus 7 years (tax + warranty)
- Quote requests that didn’t close: 3 years
- Newsletter subscribers: until you unsubscribe, plus 30 days for cleanup
- Call recordings: 90 days rolling, longer only if needed for a specific issue
- Analytics data: 14 months in GA4, 90 days in Microsoft Clarity
- Marketing consent records: 7 years (to prove you opted in if challenged)
When the retention period ends, we delete the records or anonymize them so they can’t be tied back to you.
9. How we protect it
- All data in transit uses TLS encryption
- Salesforce records are encrypted at rest
- Access to customer data is limited by role; not every employee can see every record
- Passwords on internal accounts rotate quarterly
- We don’t store credit card numbers (financing partners handle that on their own systems)
- We’ve never had a known data breach. If we ever do, we’ll notify affected Illinois residents per the Illinois Personal Information Protection Act and California residents per the CCPA.
No system is perfectly secure. If you suspect your account or our system has been compromised, contact us immediately.
10. Children’s privacy
This site is not directed to children under 16. We don’t knowingly collect information from anyone under 16. If you’re a parent and you believe your child has submitted information through our site, email hello@excelwindows.com and we’ll delete it.
11. Changes to this policy
If we change how we handle your data, this page changes too. The “Last updated” date at the top will reflect any change. For material changes (a new use, a new third party, a new retention period), we’ll notify active email subscribers and post a banner on the site for 30 days.
